Purpose of the role:
To provide high-level administrative support to senior leaders within our fast-paced business management software company. This role is instrumental in enabling our executives to focus on strategic initiatives by managing schedules, communications, and operational tasks with discretion, efficiency, and professionalism.
Accountabilities & Deliverables:
· Calendar Management: Manage complex calendars across time zones, including scheduling internal and external meetings. Effectively manage conflicting priorities & deadlines.
· Meeting Coordination: Scheduling meetings with internal and external stakeholders, preparing agendas, taking minutes, and ensuring all necessary materials are available.
· Travel Arrangements: Coordinate domestic and international travel logistics and itineraries.
· Expense Management: Processing expense reports and managing budgets.
· Communication: Handling correspondence, managing emails, and acting as a point of contact for internal and external stakeholders.
· Manage Relationships: Manage EA relationships with client companies & other external parties, as well as with the internal EA community. Act as a liaison between executives and internal teams, customers, and external partners.
· Document Preparation: Support leadership team meetings with agenda preparation, minute-taking, and action item tracking. Track key priorities, project deadlines, and deliverables, ensuring timely follow-ups. Assist with confidential and strategic communications, including investor or board materials.
· Gatekeeping: Managing access to the executive, filtering communication, and prioritizing requests.
· Event Planning: Help organize company-wide and leadership events, off-sites, and virtual meetings.
· Project Management: Support ad hoc tasks and projects as required in a dynamic, high-growth environment.
· Company Goals: Maintain an understanding of company goals and initiatives to anticipate executive needs.
Core Skills, Knowledge & Attributes:
· Bachelor’s degree preferred, or equivalent experience
· 3+ years of experience supporting senior executives, Software as a Service (SaaS) or tech environment
· Proficiency in Microsoft 365 Suite, especially Outlook, PowerPoint, Excel, and Teams
· Excellent written and verbal communication skills
· Strong organisational skills with a flexible, problem-solving mindset
· A high level of integrity, discretion, and sound judgment
· Strong time management and multitasking abilities in a fast-paced, deadline-driven workplace
· High level of professionalism, discretion, and confidentiality
· Ability to thrive in a remote-first or hybrid work model
· Experience working in or with high-growth technology or software companies
· Self-starter mindset with a proactive approach to problem-solving
· Ability to adapt quickly to changing priorities and business needs
· Strong interpersonal skills and a positive, can-do attitude
